How to Add Users to Groups in DoExam

Introduction

Users who have joined together for a shared goal are called a group, and the process of adding users to these groups is called membership. Please refer to this article for a better understanding of the differences between users, groups, and members.
In DoExam, you can create users and add them to your desired groups at the same time. In this article, you will learn how to add users to groups through the Groups menu.
Note: You can also add a user to a group through the Users Section, while creating the user, as well as through the exam sharing link.

Accessing the Group Page

To access this section, click the Groups option in the fixed menu on the side of the page.

Adding Users to Groups

After accessing the Groups page, there are three ways you can add users to your desired groups:

1. The Add Users Option

You can use this option to create and add a number of users to one or multiple groups at the same time. To use this option, prepare a CSV file containing the following fields:
  1. username
  2. firstName
  3. lastName
  4. password
  5. email
  6. mobileNumber
  7. image
  8. groups
Note: The column headers in the CSV file must exactly match the titles above.
Note: Providing all of the information is mandatory, except for email, mobile number, image, and groups.
Note: To add a user to multiple groups, you have to enter the external IDs of those groups one after the other under the groups column and separate them with semicolons. If you leave this column blank, users will be added to the root group.
Note: If you want to add a user to a specific group or do not have the external ID of a group, leave the groups field empty.
After creating the file, choose one of the following ways to access the Add Users page:
1. If you want to add users to multiple different groups, click the Add button at the top of the page and select Create Member from the available options.

2. If you want to add a user to only one group, go to the desired group page and click on the Members option at the top, or click on the three-dot icon (More Options) on the group card and select Manage Members. Both options will direct you to the members page of that group. Then, click the Add button at the top of the page and select Import by File.
After choosing one of the ways above, follow these steps:
  1. On the Add Users page, choose the CSV file you’ve created.
  2. If your file has any errors at this stage, the number of errors will be displayed in the Upload Summary section. By clicking on This Link, you can download your file along with error records and their explanations, fix them, and upload the file again.
  3. Click the Create button to create users and add them to the desired group(s) at the same time. Note that even if your file has errors, users whose information is correct will be recognized as Valid Users, and by clicking the Create button, these users will be created and added to the corresponding groups.
  4. After completing the steps, click Done to finish the process.

2. The Add Member Option

You can use this option to add users who are already registered in DoExam to the desired group. To access the Add Member page, you can choose one of the following ways:
1. Go to the desired group page and click on the Members option at the top to access the members page of the group. Then, click the Add button at the top of the page and select Add Member.

2. Click the three-dot icon (More Options) on the group card and select Add Member to Group.
After choosing one of the ways above, follow these steps:
  1. Enter part of the first or last name of the desired user in the search box. Here, at least three characters are required to get search results.
  2. The list of users matching the entered phrase will be displayed at the bottom of the page. To select the desired user(s), click on the checkbox next to the user's name.
Note: If a user has been previously added to this group, there will be no checkbox next to the user’s name.
  1. Click the Next button to add the users to the group.
  2. Click the Finish button to complete the process.
With this option, users who are already registered in DoExam will be directly added to the desired group after logging in. Otherwise, with access to the group link, the user must first register in DoExam and then, immediately after logging in, will become a member of the desired group.
To obtain the group link, click the three-dot icon (More Options) on the group card and select Get Link. The group link is then saved to your clipboard, which you can share with the desired users.
